Construction AI Automation

Automate construction admin without replacing your software.

For trade contractors, subcontractors, and construction businesses losing hours to tender intake, quote chasing, document filing, reports, and handoffs between systems. Setpoint builds the workflow so the admin runs in the background, without replacing the software you already use.

Sound familiar?

The problem is not your team. It is the manual process between your tools.

📄
A tender arrives and the clock starts immediately. Your platform may help once someone is inside it, but someone still has to read the email, download the PDFs, extract the key dates, create the record, build the folder, name the files, and notify the team.
📧
Subcontractor quotes become a follow-up job of their own. Even if your software stores the information, someone still has to send the requests, chase the non-responders, collect the replies, save the attachments, and build the comparison.
📊
Weekly reports take longer to produce than they should. Built-in AI can help inside one platform, but it usually still needs someone to trigger the task, check the output, move the information, and keep the workflow going.
💸
Your most valuable people are still driving the process. Sole traders catch up at night. Estimators set up tender folders. PMs chase subcontractor replies. Directors rebuild reports. The software may store the information, but someone still has to move the job forward.
🌙
Or it is just you catching up after hours. The jobs take the day, the admin takes the night, and the business keeps relying on memory, discipline, and late finishes.
Why nothing has fixed it yet

Built-in AI still needs someone to operate the workflow

Most platforms are getting smarter. That helps. But built-in AI usually works inside one system. It can summarise, draft, or suggest. It does not always start from the trigger, pull information from the right places, update the right records, chase the right people, and send the right output without someone driving it.

What people try
Built-in AI features — useful inside one platform, but still usually need a user to start, check, move, and finish the process
Hiring admin support — helpful, but expensive and still dependent on people remembering every step
Generic automation tools — useful for simple tasks, but fragile when portals, tender files, naming rules, approvals, and exceptions are involved
Buying another platform — another subscription, another setup, another login, and another system your team has to learn before it saves them time
Better checklists — useful until the week gets busy and someone skips a step
What actually works
Automation that starts when the trigger happens: email received, file added, form submitted, due date reached, or quote returned
A workflow that moves information between inboxes, folders, spreadsheets, job software, accounting tools, and reports
AI used inside the workflow to read, extract, summarise, draft, and flag exceptions
Human approval kept where the decision matters, not where the admin is repetitive
Runs in the background without another dashboard to manage
⚠️
AI is the worker, not the whole system
Setpoint uses AI where it is useful, but the real value is the automation wrapped around it: triggers, file movement, data extraction, approvals, reminders, reports, and notifications that happen without someone manually driving each step.
Can’t I just use ChatGPT or download an AI app and do this myself?

Yes — and plenty of people try. Here is what usually happens.

You spend a weekend setting up a tool that works for one simple task. Then the tender arrives with a portal login, fourteen PDFs, and a return date buried in the specs. The app does not know your job management platform, your folder structure, your quote numbering system, or that you always flag coordination issues before pricing starts. You then spend more time configuring it and prompting it than you saved using it. Eventually it sits unused.

The difference with Setpoint is not access to AI. It is knowing how construction admin actually works, then configuring the automation around that reality.

Off-the-shelf AI tools are built for everyone, which means they are optimised for no one in particular. What we build is specific to your business: your software, your folders, your quote numbers, your approval points, your reports, and the way your team actually works. The automation does not ask your team to change how they do things. It fits around how things already get done and handles the repetitive parts automatically.

That is the part that takes time to get right. And it is the part that generic tools skip entirely.

The method

A custom workflow that runs the process.

01

Tender intake starts automatically

A tender email arrives. Documents are downloaded or filed, key details are extracted, the folder structure is created, the quote record is prepared where possible, and the right person is notified with links, dates, and flags. Your team starts from the summary instead of the setup work.
02

Subcontractor chasing stops relying on memory

One trigger sends the right quote requests with the right documents. Non-responders are followed up automatically. Replies and attachments are tracked. A comparison is prepared when responses come in. Your decision-maker still decides; the chasing no longer depends on memory.
03

Reports arrive without rebuilding the same spreadsheet

Information can be pulled from the places it already lives, formatted into a report, checked against simple rules, and sent to the right people on a schedule. Nobody has to remember to open five tabs and rebuild the same update every week.
ℹ️
The important boundary
Automation can run the admin sequence. AI can read, extract, summarise, draft, and flag exceptions. Your business still controls pricing, approvals, commercial decisions, and anything that should not go out without review.
The offer

What you get when Setpoint builds the workflow

Four things matter: the workflow has to fit your business, connect to your existing tools, run reliably, and remove user interaction from the repeatable steps instead of creating another system for people to manage.

⚙️

A workflow designed around the moment work starts

We identify what should start the process — an email, file upload, due date, quote reply, form, or report cycle — then build the steps that should happen next.
🔌

Connections between the tools you already use

Aroflo, simPRO, Procore, Xero, MYOB, Microsoft, Google, SharePoint, Drive, and email can stay where they are. The automation moves work between them instead of making someone copy, paste, download, upload, and chase.
🕐

Automation that runs without someone manually starting every step

Tender notices, follow-ups, file handling, summaries, reminders, reports, and alerts can happen without someone manually starting each step or checking every platform.
👔

Monitoring, support, and handover options

Keep Setpoint managing the system monthly, or have it documented and handed over if your team has the technical capability in-house.

Why Setpoint is the guide

Built by someone who understands the construction industry, its processes, and its pain points.

Patrick Moore — Founder, Setpoint Operations
15+ yrs construction Dual UK & AU qualified HV Authorised — MoD Tier-one commercial Sydney CBD

I started as a qualified electrician and spent 15 years working through military defence, high-voltage critical infrastructure, and tier-one commercial projects across the UK and Australia.

I have seen the same pattern from inside construction: capable people getting buried under repeatable admin because the systems around them still need someone to manually drive the process.

That matters because construction automation is not just a technical problem. A tender workflow, subcontractor package, progress claim, programme update, or cost report has context. Generic do-it-all AI apps do not understand that context, so the setup needs to be shaped around how construction work actually moves.

Setpoint exists for construction and trade businesses that want repeat admin removed without replacing the platforms, judgement, and commercial control they already rely on.

Example transformations

What changes when the workflow starts running itself

Tender intake workflow
Before: someone manually reads tender emails, downloads documents, creates folders, names files, extracts dates, and notifies the right person.

After: the email triggers the workflow. Details are extracted, documents are filed, records are prepared where possible, and the job starts from a structured summary instead of a blank admin task.
Subcontractor quote workflow
Before: RFQs, reminders, replies, attachments, and comparisons are spread across inboxes, spreadsheets, and job folders.

After: requests and reminders run from the workflow, responses are tracked, and the decision-maker reviews a cleaner comparison with fewer manual follow-ups.
Investment

Transparent pricing. No mystery quote process.

You should know the likely price before wasting time on a long sales process. Start small if you have one admin problem. Build bigger once the first workflow proves the value.

Single workflow build
$1,500 – $3,500
For one clear admin process, such as tender intake, subcontractor chasing, filing, or reporting. Fixed setup price based on complexity, then optional monthly support if you want Setpoint to monitor and maintain it.
One trigger-to-outcome workflow mapped, built, and tested
Built around your current inbox, folders, sheets, or software
Clear approval points where decisions matter
Short handover and workflow documentation
Enquire about single workflow
Prefer to manage it yourself after delivery?
If you have the technical capability in-house, Setpoint can build and document the workflow for handover instead of ongoing support. This is best when someone internal can maintain APIs, automations, credentials, and error handling.

Most single-workflow builds start from $1,500–$3,500 depending on complexity. Managed support is quoted separately once the workflow is scoped. Larger enterprise or industry-specific systems can be quoted separately once there is a clear business case.

Questions

Straight answers to the objections most contractors have first

Will I or my team need to learn another platform?
Usually, no. The point is to avoid adding another platform just to solve an admin problem. The workflow is built around the tools you already use. If there is a new approval step or notification format, it is kept simple and explained during handover.
Our software already has built-in AI. Why would we need this?
Built-in AI can help inside one platform. Setpoint focuses on the workflow between platforms. If someone still has to open the email, download the files, update the folder, enter the details, chase replies, and send the update, the process still depends on manual work.
We already use Procore / Aroflo / simPRO / Xero — will this replace them?
No. The system connects to the software you already have where possible. Your business keeps using the same platforms. The difference is that the repetitive manual work around those platforms starts happening automatically.
Will AI be making decisions or sending things without us checking?
No. AI can read documents, extract information, draft summaries, and prepare outputs. Commercial decisions, approvals, client communication, subcontractor commitments, and pricing control stay with your team.
What if I am a sole trader or small business?
That is exactly why the starter workflow exists. You do not need a large team to benefit from automation. If one repeat admin job is taking time every week, it may be worth automating. If it is not worth the spend yet, the assessment will say that.
What if I am not sure what needs automating?
Send the part of the week that feels repetitive, slow, or expensive. The free assessment will identify whether there is a clear automation opportunity or whether the process should be cleaned up manually first.
How long does it take to set up?
Most single workflows take 1–3 weeks after scope approval. Larger multi-system builds can take longer, especially if they involve portals, approvals, or multiple software connections.
Can we own the automation and manage it ourselves?
Yes. If you have the technical capability in-house, the system can be built and handed over to your team to maintain without an ongoing retainer. Full documentation and a handover session are included. Mention this when you get in touch and we will discuss whether it is the right fit.
What happens if I stop the retainer?
Support, monitoring, and included running costs stop after the notice period. Depending on how the workflow is hosted and documented, you may be able to take it over internally through a separate handover arrangement.
Is our project, tender, or accounting data safe?
Access is scoped to what the workflow needs. The proposal should make clear which systems are connected, what information is processed, who can approve outputs, and where data is stored or sent. If your business has specific compliance requirements, raise them before the build starts.
Could I just do this myself with AI or automation tools?
For simple tasks, maybe. The value here is not just access to AI. It is having the trigger, workflow, software connections, exception handling, approvals, testing, and documentation built around how construction admin actually behaves when files, emails, folders, replies, and deadlines are involved.
Is this just another software platform?
No. Setpoint is not another platform your team has to learn. It is a workflow automation service built around the tools you already use, with human approval kept where decisions matter.

Get the admin out of the way, so your team can do the work only they can do.

Send the workflow that is wasting time. If it can be automated, you will get a clear path and price. If it cannot, you will know that too — before buying another platform or hiring more admin help.
